OverDrive Advantage Weeding (Stephanie Everett, OverDrive)

  • Stephanie is our new Account Manager for OverDrive and has a background working as an Academic librarian for eleven years before joining the OverDrive support team.
  • Stephanie shared that OverDrive Marketplace now supports account-level weeding: consortia and Advantage accounts can independently weed their own copies of titles. 
  • Stephanie went over the background of this new feature and some frequently asked questions about how to use it.
  • People with Advantage Weeding permission on their Advantage account can manage expired metered access content more effectively.
  • Marketplace users with the following permissions were given the Weeding permission: Purchasing, Shopping, Curate, and Reports.

Q & A 

  • Q: Can an individual copy be weeded?
  • A: Titles are weeded in their entirety. If you have three copies you cannot weed just one copy. When an advantage library weeds a title, all the copies owned by that library will be weeded. The shared collection such as the consortium copies and copies from other Advantage libraries will remain. This gives more control to libraries for their purchases.
  • Q: What titles will a user see in the weeding tool?
  • A:  A Marketplace user will only see the titles in the Weeding tool that are owned by their specific private account. This means an Advantage user cannot see the consortium-only owned titles. Note: mutually owned consortium and Advantage titles will display ownership.  
  • Q: Can you set up an automatic weeding plan on your Advantage account?
  • A: Yes, you can. The automatic weeding plans will weed copies at the private account level when they meet a plan’s criteria. You can choose your own weeding criteria for your plan. The weeding plan could be used for the expired meter access titles. 
  • Q: Can an Advantage account purchase a title that has been weeded from the consortium collection?
  • A: Yes.
  • Q: Can the consortium account purchase a title that has been weeded in an Advantage account or multiple Advantage accounts?
  • A: Yes. The titles are not owned by everyone so you can make individual selections.
  • Q: Can an Advantage account weed titles they have shared through Advantage Plus?
  • A: Yes. 
  • Q: Can weeded titles be shared or moved through Advantage Plus?
  • A: Yes. 
  • Q: How do email notifications work for automatic weeding plans?
  • A: An Advantage user with Weeding permission can opt into or out of receiving email notifications when titles are automatically weeded from the consortium account and/or their own Advantage account. By default, they do receive notifications for titles weeded from their Advantage account, but not from the consortium.
  • Q: Can you do a bulk weeding instead of just individually weeding titles?
  • A: You would need to run a weeding report and download the spreadsheet. You would add all the reserve IDs from the weeding spreadsheet into the Weeding tool.

New Database Interest Update (Tammy)

  • Add if you would like a Demo, Pricing, Trial, Have, or NI (not interested) for each database. The spreadsheet was shared through email with the subject line “ECC Minutes & Materials for 07/12/2022.”

New ECC Chair Needed (Tammy)

  • Tasks
    • Work with the Marmot rep to help with meeting agendas and review of minutes.
    • During the meetings, the ECC Chair would announce the meeting agenda and keep the meeting on task. Also, read any chat messages out loud for the meeting recording.
    • Send out an email to the member that includes the meeting minutes.
    • Any members interested in being the ECC Chair please send an email to Tammy (tammy-at-marmot.org).
    • A new chair candidate must be approved by the Marmot Executive Board.
  • Adam spoke about the midpoint review of the Marmot five-year operational plan. Adam spoke with the directors during the focus groups and they would like Marmot to go in the direction of more eResources in all aspects. the Directors would like to see more collaborative purchasing, more stats, and more electronic resource management. For Marmot to go in the direction that the Marmot member libraries articulate, the eContent Committee, member-driven governance, we need someone from our member libraries to step in and help Tammy coordinate this committee to keep different aspects of eResources moving forward.        

Content Credit Holds List (Tammy)

  • OverDrive holds spreadsheet is a list of the titles with the highest holds using the Current Holds report in OverDrive.
  • The holds survey is to be used to confirm that you agree with the current holds report spreadsheet. 
  • Please either choose "yes" or "no" for each title listed in the holds survey to let Tammy know if you want her to purchase a copy using the content credit.
  • The spreadsheet and survey were shared through email with the subject line “ECC Minutes & Materials for 07/12/2022.”

Marmot User Group (MUG) (Tammy)

  • We are looking for a member of the ECC to be on this MUG planning committee.
  • Update since meeting: we have an ECC volunteer to work on the MUG planning committee

Other Business

  • OverDrive Lucky Day
    • Noel would like to move forward with the Lucky Day option in OverDrive.
    • Action Item: Tammy will contact Stephanie (OverDrive) to find out if the Lucky Day option is still an all-in option that everyone has to agree to start using it.
  • Update since meeting:
    • Below are some notes from our ECC meeting on 08/13/2019 about Lucky Day. Tammy asked Stephanie if any has changed. Stephanie agreed that nothing has changed. This is still an all-in option that all the Marmot OverDrive members will have to agree to turn on.
    • Lucky Day needs to be turned on at the consortium level
    • The consortium would need to agree on the lending period, and limit concurrent checkouts
    • Lucky Day curation would need to be turned on for advantage libraries
    • Lucky Day titles can be chosen at an advantage level as long as a library owns more than one copy
    • Lucky Day titles can be converted back to a regular title using the Lucky Day Manage titles feature
    • Since everyone shares their titles, the Lucky Day title will be shared with the entire consortium
    • Patrons from the library who purchased the title will lose priority when it becomes a Lucky Day title
    • Abbey verified that when a shared ADV title is made Lucky Day, their patrons will lose priority access
